GENE COMMERCE is a leading ecommerce agency. We are looking for an experienced Head of Project Management to help our clients’ online businesses succeed by leading the Project Management Team in delivering exceptional projects.

As our Head of Project Management, you will be part of our superb delivery team responsible for the smooth and effective running of a range of digital ecommerce projects, across a wide portfolio of clients. We believe you are the person that ensures everything comes together, a leader, problem solver and negotiator, a decision maker and organiser; you demonstrate resourcefulness, initiative, calm and attention to detail, above all you are driven by a desire to lead a team in delivering great results. To succeed you must be an expert in the GENE delivery process, but flexible enough to allow space and freedom to thrive. You see and understand the big picture but are also the expert of the project specifics and the detail of what it takes to deliver it on time, to budget whilst delighting the client and end user.

You will be leading a team who work on multiple large scale and complex ecommerce projects, switching seamlessly between conceptual, visionary thinking and pragmatism to find a way to deliver and, avoiding the mediocre compromise. You will be leading and mentoring a well established, supportive and structured Project Management team, who work well together.

Role Responsibilities

You are a leader and facilitator with proven skills and experience in the following: effective project set up and initiation, budget control, project tracking and reporting, risk and issue management, quality assurance and project resourcing. An understanding of the principles of Project Management, appropriate methodologies and processes, including Agile, Scrum and Kanban, is vital.

The Head of Project Management essentially manages all factors that govern project success to ensure the Project Management team can deliver within time, cost and quality parameters.

Duties and Responsibilities

Line Management Accountability

  • ?  First line of support for any work related issues for individuals within the Project Management Office, including all Project Managers and the Resource Manager

  • ?  Mentor, coach and support the Project Managers within the team with all elements of project delivery and the GENE Machine

  • ?  Ultimately responsible for the PM Toolkit, including but not limited to dashboards, project status reporting and best practices with online planning tools such as Miro

  • ?  Financial monitoring and reporting across client projects

  • ?  Allocation of projects to PMs, based on their capacity and ability to deliver within the GENE

    Machine process

  • ?  Facilitate the weekly PMO Level 10 Meeting

  • ?  Attend the weekly Delivery Level 10 Meeting

    Project Delivery

  • ?  Ensure the successful delivery of a range of ecommerce projects throughout the full project lifecycle

  • ?  Manage and deliver multiple work-streams for various clients to agreed scope, timings, budget and quality

  • ?  Point of project-level communication; in regular contact with internal and external partners engaged in delivering the projects

  • ?  Constantly analyse the areas that could potentially throw the project off track and raise issues, risks or ‘blockers’ with your team to find a solution

  • ?  Schedule and facilitate all project based ceremonies and workshops, including Context Workshops to gather project context and scope, as well as Backlog Refinement, Sprint Planning, Retros, and Show & Tells

  • ?  Be a true facilitator to your project team, giving them the tools to find the right solution and roadmap it out effectively. Encourage the team to feel ownership of the work through empowering them to find a way and thrive together

  • ?  Plan resource requirements for all projects as far ahead as possible, as accurately as possible. This should be based on forecast workload and kept up to date regularly to allow for accurate scheduling across the business


  • ?  Support the commercial sales process through requests for information, and meeting with the customer where required

  • ?  Help win and build the trust of the customer, and the wider business, in the capability of the DeliveryTeam, and take responsibility for maintaining it

  • ?  Help to increase company revenue and profit through the successful delivery of new projects and provide ongoing support for our customers

    Administrative & Reporting

  • ?  On a daily basis, report project tracking by means of a burn up chart, to show if your project is on track or not

  • ?  Escalate any projects at risk – based on variance from baseline on delivery dates or budget overspend to the Chief Delivery Officer

  • ?  Manage all project management tools, including

    • ?  Miro for scoping and planning with the team (daily)

    • ?  Burn Up Chart for sprint planning and tracking (daily)

    • ?  Resource schedule for booking resource requirements (daily / weekly)

    • ?  Commercial Forecast Tracker for forecasting and confirming client spend (weekly)

  • ?  In conjunction with the Account Director, provide appropriate reporting to the client of any changes or potential impact to agreed project deliverables

  • ?  Assess the time and financial impact of changes and communicate to clients as appropriate

  • ?  Help govern over tools and processes for the Project Management Office

  • ?  Assist your team in reporting on:

    • ?  general project health/progress

    • ?  team Health; training and accreditations, nurturing and wellbeing

Likewise, be able to demonstrate commercial awareness and be able to educate others in the need to support another team at the expense of your own, if it’s for the greater good of Gene as a whole
